Firms, members and invites

Share boards with your team: create a firm, invite people, manage roles and seats, and hand over or delete a firm.

A firm is a shared workspace: its boards, its members, and its own plan and seats. Everyone in a firm sees the same projects and boards.

Everyone also has a personal workspace, created when you first sign in. It is private to you and can't have members, be renamed or be deleted. Its settings only hold your API tokens.

Roles

  • Owner: one per firm. Everything an admin can do, plus transferring ownership and deleting the firm.
  • Admin: manages the firm: its name, members, invites, boards, default columns, MR linking, billing and everyone's API tokens. Only owners and admins can add, remove or pause projects.
  • Member: uses the boards. In Firm settings, a member only sees their own API tokens.

Create a firm and switch between firms

Create one in Settings → Firms, or from the firm switcher with + New firm. You become its owner, it starts on the Free plan, and you switch to it straight away. You can create up to 10.

Once you belong to more than one firm, including your personal workspace, a firm switcher appears in the sidebar. Admins also get Firm settings there.

Invite people

In Firm settings → Pending invites, type an email address, or a GitLab or GitHub username and pick which provider it's on. Choose member or admin, then Invite. A dialog shows which seat this takes and, on a paid plan, what it adds to your bill.

  • Email invites send a short email asking the person to sign in.
  • Username invites aren't emailed, so let the person know. They're matched to the provider account itself, so they still work if the person later changes their username.

There's no link to click. The person joins the next time they sign in with a matching email address or provider account. They land in their own workspace and switch to your firm with the firm switcher.

Invites expire after 30 days. Revoke cancels one and frees its seat. An invite also stops working if the person who sent it is no longer an admin, and it can't be accepted while the firm has no free seat.

Seats

Seats are members plus pending invites: 3 on Free, 5 on Pro, and unlimited on Team. When all seats are taken, Invite is disabled until you remove someone, revoke an invite or upgrade. On Pro, each seat is billed, and adding or removing one is prorated.

Members

In Members, admins can make someone an admin or a member, or Remove them. The owner can't be removed or demoted; ownership only changes by transfer. Making an admin a member also cancels the invites they sent.

Leave a firm

In Settings → Firms, choose Leave next to the firm. Owners can't leave; transfer ownership first.

When you leave, or are removed, your own things in that firm are deleted: pins, card and column orders, column automations, personal saved filters and API tokens. Boards that ran on your linked accounts become disconnected until an admin re-points them. Your seat is freed. To come back, someone has to invite you again.

Boards

Boards lists every board and the account it runs on. A board whose account owner has left, or deleted their account, is marked disconnected: it keeps its cards but stops syncing. Choose Reassign… to move it to one of your own accounts on the same provider. A move that would take the firm past its plan's account limit is refused, unless it only swaps one account for another.

Default board columns

The columns new GitHub boards start with. You can edit them, start from a template or copy a board's columns. Existing boards don't change. GitLab boards always mirror their GitLab board lists instead.

MR linking (GitLab)

Which words in a GitLab merge request link it to an issue on your boards:

  • Closing words (close, fix, resolve, implement) always count.
  • Referencing words (ref, refs, references) are on by default.
  • Loose words (see, related to, part of) and Bare mentions (any #N) are off by default, because they can link merge requests you didn't mean to.

A board can override the firm's choice. GitHub uses its own linking rules, so this setting doesn't affect GitHub boards.

API access

Every member can create API tokens for the firm on a plan with API access (Pro and Team). Members see only their own tokens; admins see all of them. The API reference covers the rest.

Transfer ownership

In Danger Zone, the owner picks a member and chooses Transfer…. They become the owner at once, and you become an admin.

Delete a firm

In Danger Zone, the owner chooses Delete… and types the firm's name to confirm. This permanently deletes the firm, its boards, issues and invites. A paid subscription is cancelled straight away, and the unused part of the current period is refunded to your card. Your linked accounts aren't touched, and nothing on GitLab or GitHub is deleted.
